Terms and Conditions

  • Reservation Information.

To make a reservation, the company requires the client to pay 50% of the total tour cost using our authorized payment methods, as sent by the sales agent. The remaining 50% of the tour cost must be deposited in American dollars or Soles, into the accounts provided by our staff 30 days before the client’s arrival in Huaraz.

In order to confirm the reservation, we will need the following information from each passenger: Full name, ID card or passport number, nationality, age, and gender. It is recommended to inform us of any allergies, illnesses, conditions, characteristics, food preferences, etc.

 

After the prepayment is made, our sales agent will send an email with the confirmation of the chosen tour package, which serves as a guarantee of the reservation. Once the client receives the confirmation, they must verify the details carefully and respond to the email.

 

If the reservation includes accommodation, hotel confirmation is subject to availability. If there is no space in the specified hotel in the confirmation email, we will provide another hotel of similar category and price to the client.

 

The company reserves the right to accept last-minute reservations (24 hours before the client’s arrival at the destination), in which case we will expressly indicate the special conditions of the reservation, including any special schedules if applicable. These conditions must be agreed upon by both the client and the company and will be documented via email.

  • PRICE.

Chasing Adventures EIRL values the satisfaction of its customers and reserves the right to adjust the prices of its packages if necessary. In case of situations that are beyond the control of the company, such as market fluctuations or government changes, a rate adjustment may be evaluated. All prices are indicated in American dollars or Soles, depending on the booking method agreed upon by both parties, for greater clarity and transparency.

 

If there is an increase in operating costs, Chasing Adventures EIRL will seek to minimize the impact on the final package price, and significant adjustments will only be applied if necessary. In this way, we aim to guarantee customer satisfaction while maintaining business sustainability.

 

3. Cancellation

If you cancel your reservation, please notify us immediately so that the cancellation can take effect. If the cancellation occurs less than 30 days before departure, your deposit will be forfeited. Last-minute cancellation and failure to show up for departure will not be refunded. Under no circumstances will any refund be made if you do not show up on the date of departure or if you leave the trip after it has started for any reason, voluntary or involuntary.

 

Regarding last-minute reservations:

To reschedule the following services for hiking, adventure sports, climbing, and other activities, please inform us 48 hours in advance.

 

The company will refund 20% of the total price of a reservation in case of cancellation with 12 hours’ notice. Otherwise, there will be no refund of the total or paid amount of the reservation.

 

4. Insurance

Travel insurance is essential for your peace of mind and safety throughout your trip or participation in scheduled activities. Medical emergencies or unexpected illnesses before or during your trip could cause you to lose non-refundable prepayments. Emergency medical transport and ambulances in remote locations can be extremely costly and likely not covered by your health insurance plan, so it is mandatory that you purchase appropriate personal travel insurance that is suitable for your trip. This insurance should cover personal accidents, medical expenses, ambulance, loss of effects, repatriation expenses, and all other expenses that may arise as a result of losses, damages, injuries, delays, or inconveniences during your trip. When purchasing travel insurance, you should inform the insurer of the type of trip you will be undertaking, especially if your trip includes “hiking, climbing, and adventure activities”.

 

  1. Medical health

It is mandatory for customers with medical issues to inform us before departure. The trip leader has the right to disqualify any person, at any time, during the trip or program if they deem the trip member or participant physically incapable and/or if the continued participation of a trip member will be detrimental to the individual involved or the group. No refunds are given under such circumstances. Due to the fact that hospital facilities for serious problems are often not available and evacuation may be prolonged, difficult, and expensive, we assume no responsibility for the provision of medical care at any time during the trip. This statement is included in the Risk Assumption Release Form provided by our company. All passengers over the age of 65 are requested to complete a Medical Report to help us identify potential health risks they may incur.

 

  1. Assumption of Risk and Release of Liability

I understand and agree that Chasing Adventures EIRL acts as a tour operator that may expose me to risks and hazards, and that participating in trips such as the one I am undertaking involves the risk of illness, property danger, personal injury, and loss of life. I also agree that medical services or facilities may not be readily available or accessible during all or part of the time I participate in the trip. I hereby accept and assume full responsibility for all and any risks of illness, injury or loss of my life and loss or damage to my property arising from participation in the trip organized by Chasing Adventures EIRL.

 

I hereby agree that neither I, nor any of my heirs, personal or legal representatives, or family members will bring a lawsuit or claim for illness, injury, loss or damage to property, or loss of life resulting from any act or omission, including any negligence, gross or reckless acts or omissions (but not deliberate or fraudulent conduct) of Chasing Adventures EIRL, its manager, employees, owners, officers, agents, contractors, partners or affiliated organizations arising from my participation in this trip. I hereby agree, without limitation, that Chasing Adventures EIRL is not responsible for fortuitous events, equipment failures, vehicle accidents, food-borne illnesses, detentions, assaults, thefts or criminal activities, annoyances, delays, quarantines, strikes, failure of any mode of transportation to arrive or depart as scheduled, civil disturbances, terrorism, government restrictions or regulations, and discrepancies or changes in transit services over which it has no control.

 

I hereby release Chasing Adventures EIRL, its manager, employees, owners, officers, agents, contractors, partners or affiliated organizations from and against any and all liability arising from my participation in the trip or related in any way thereto, including liability for any negligence (but not intentional or fraudulent conduct) and any intentional acts intended to protect my safety and well-being.

 

I understand and agree that Chasing Adventures EIRL may make reasonable changes to the itinerary as it sees fit for the comfort and well-being of the passengers. They reserve the right to substitute, alter the itinerary and reverse the order of the program.

 

The laws of the Republic of Peru shall govern this Agreement as well as any arbitration that may arise as a result of a dispute to this document. I have read carefully this General Terms Agreement and fully understand its contents and confirm that all information I have provided in the reservation form is true. I am also aware that this is a release of liability and a contract between Chasing Adventures EIRL and its affiliated organizations and/or myself.
